1.1 Contact Information: name, email address, and company name, collected when you or your company is onboarded as a client.
1.2 Site & Operational Information: site address, access instructions, on-site equipment details, preferred vendor notes, and emergency contact information, collected through our onboarding form and Portal profile.
1.3 Payment Information: billing is processed through Stripe, a third-party payment processor. We do not directly store your full payment card or bank account details; Stripe's own privacy policy governs its handling of that information.
1.4 Portal Usage Information: basic account and login activity within the Portal.

2. How We Use Information
2.1 We use the information described above to schedule and perform facilities/IT management services, coordinate with vendors on your behalf, bill for services, communicate with you about your account, and maintain accurate records of your site.

3. How We Share Information
3.1 Vendors: when coordinating repair or specialty work, we share only the information a vendor reasonably needs to perform that specific work (e.g., site address, relevant access instructions), not your full record.
3.2 Service Providers: we use a secure third-party client portal platform to host your account information, and Stripe to process payments. These providers process information on our behalf and are not authorized to use it for their own purposes.
3.3 Legal Requirements: we may disclose information if required by law or to protect the rights, property, or safety of Good Synergy, our clients, or others.
3.4 We do not sell your information to third parties.

4. Data Security
4.1 We take reasonable measures to protect the information you provide — including access instructions and gate codes — and limit internal access to staff who need it to perform your services.
4.2 No method of storage or transmission is completely secure; we cannot guarantee absolute security.

5. Data Retention
5.1 We retain your information for as long as you remain a client, and for a reasonable period afterward as needed for recordkeeping, billing history, or legal compliance.

6.1 You may update certain information directly in your Portal profile. To request correction, deletion, or a copy of other information we hold, contact us using the information below.

7.1 Our services are provided to businesses, not individual consumers, and the Portal is not directed to or intended for use by children.

8. Text Messaging (SMS)
8.1 If you consent to receive text messages from us, we may send informational and conversational messages related to scheduling, service updates, and on-site coordination for your account.
8.2 No mobile opt-in information or text message consent will be shared with third parties or affiliates for marketing purposes.
8.3 Message and data rates may apply. Messaging frequency varies based on your scheduled services and any active coordination needs.
8.4 You may opt out of text messages at any time by replying STOP, or reply HELP for assistance.
